Cancellation, Reschedule & Refund Policy

This policy is incorporated into our Terms & Conditions. If there is any inconsistency, this Cancellation Policy applies (except where the Australian Consumer Law cannot be excluded).

1Definitions

Term Meaning
We / us / our Dylan Knight trading as Dylan Knight Photography (ABN 86 112 559 463), Australia.
Workshop Any paid photography workshop, tour, retreat or tuition advertised by us.
Client / Participant / you The individual or entity who books and pays for a Workshop.
Start Date 00:01 local time on Day 1 of the scheduled Workshop.
Force Majeure Event An event beyond a party’s reasonable control (e.g., natural disaster, pandemic, government restriction, serious illness or injury of the workshop leader, or access/permit withdrawal).

2Booking & Payments

  1. Deposit: A deposit is required to secure your place (typically 30%, or as stated on your invoice/checkout).
  2. Balance due: The remaining balance is due 30–60 days before the Start Date (as stated on your invoice/checkout).
  3. Late bookings (within 30 days): 100% of the fee is payable at the time of booking.
  4. Non-payment: If payment is not received by the due date, we may cancel your booking and offer the seat to another participant (subject to the Australian Consumer Law).
  5. GST: All prices include Australian GST where applicable.

3Cancellation by Client

Notice period (before Start Date) Refund entitlement
60 days or more Refund of monies paid less A$100 admin fee.
30–59 days 50% refund of monies paid.
Less than 30 days No refund unless we fill your seat. If your seat is filled, refund of monies paid less A$100 admin fee.

Refunds are processed within 10 business days to the original payment method where possible.

How to cancel: email written notice to info@dylanknight.com.au. The effective date of cancellation is when the email is received (based on our system timestamp).

Seat re-sale / goodwill: Where a refund is not otherwise available (e.g., within 30 days), we may still attempt to re-sell your seat. Any credit or refund outside the table above is strictly at our discretion and may be subject to an admin fee and any non-recoverable third-party costs.

4Reschedule & Transfer (Client-Initiated)

  1. One transfer: One-time transfer to another workshop/date may be permitted if requested 30+ days before the Start Date, the account is paid in full, and a suitable seat is available.
  2. Within 30 days: Transfer requests within 30 days are treated as cancellations unless your seat is re-sold, in which case we may apply your payment as credit less A$100 admin fee (at our discretion).
  3. Price differences: If the new workshop has a different price, you must pay any difference (or we may credit the difference, where applicable).

5Cancellation or Material Change by Us

  1. Minimum numbers: We may cancel if fewer than 2 participants are confirmed 30 days prior. You may choose a full refund or a fee-free transfer (subject to availability).
  2. Force majeure / access / permits: If a Force Majeure Event requires cancellation or a date change, you may elect to:
    • transfer to a new date, or
    • receive a credit valid for 24 months, or
    • receive a full refund (limited to monies paid to us for the workshop fee).
  3. Costs outside our control: We are not liable for your ancillary costs (e.g., flights, accommodation, car hire, insurance).

6Chargebacks & Payment Disputes

Any chargeback, card dispute, or payment reversal is treated as a client-initiated cancellation. Refunds/credits (if any) will be handled under this policy once the dispute is resolved. We may provide booking records and correspondence to the payment provider to respond to the dispute.

7Client Responsibilities & Insurance

You are solely responsible for travel, accommodation, equipment, and comprehensive insurance covering cancellation, medical, equipment and weather-related disruption from the date you pay a deposit (or otherwise commit to travel).

8Liability & Australian Consumer Law

  1. Outdoor photography involves inherent risks (including uneven terrain, wildlife, tides/swell, and weather). Participation is voluntary and at your own risk.
  2. Nothing in this Policy limits or excludes any rights you have under the Australian Consumer Law or other non-excludable consumer guarantees.

9Dispute Resolution

Please notify us in writing of any dispute and allow 14 days for response. If unresolved, the parties will attempt good-faith resolution (and mediation where practical) before commencing court proceedings.

10Amendments

We may amend this Policy by posting an updated version on our website. The version in force on the date your deposit is paid applies to your booking.
